The problem
This residential painting company, seven years in and growing fast, was running its estimating and job pipeline through PaintScout, but the tool didn't fit how the business actually priced work: PaintScout used one blended labor rate instead of the real cost multipliers the company needed, and its reporting was too thin to run the business on. Sales reps had to leave the estimating tool entirely just to walk a customer through a separate sales deck, and there was no way for a homeowner to actually see and choose paint colors inside a proposal, so the team was cobbling that together with a second tool and ad hoc AI-generated renders that weren't good enough to send to clients. On top of that, there was no permissioning between admin, office staff, contractors, and customers, no automated follow-up on quotes that went quiet, and the team was paying for a separate photo-management tool just to track job-site progress, stacked on top of what PaintScout already cost.
The solution
Eclipse built the company a custom estimating and operations app that replaced PaintScout as the system of record for pricing and the job pipeline. Reps now present proposals inside the same app instead of switching to a separate deck mid-pitch, and a client-facing color-selection tool lives directly inside the proposal, letting homeowners pick from major paint brands per area of the job and sign off digitally. Behind that sits a full production-pipeline portal that walks every job through proposal acceptance, deposit invoicing, color selection, scheduling, and crew handoff, with defined permission levels for admin, office staff, contractors, and customers, and a direct sync to QuickBooks so invoicing has one source of truth.
The impact
The app is now fully in production, and the company has consolidated its stack down to just cloud hosting and the underlying Anthropic API powering the intelligence in the app — cutting what it spends on software by roughly 90 percent. The owner's own reaction on seeing the finished product was that it was “incredible” and “a lot better than I had in mind.”
